Overview

What can go wrong without a prior supplier audit

Not auditing your suppliers - including those found on platforms like Alibaba - means running the risk of discovering problems when it's already too late—fraud, non-compliance, delays... Avoid the stress by verifying your suppliers upfront.

Supplier Audit Example

Fraudulent or non-existent suppliers

Some suppliers claim to be factories but turn out to be brokers or, worse, don’t exist at all. Without supplier analysis, you might end up signing with “ghost” companies, putting your finances and project at risk.

Non-compliance with standards and regulations

Suppliers may use substandard materials or fake certifications to cut costs. This can lead to non-compliant products, fines, delays, or even recalls due to lack of regulatory compliance.

Insufficient production capacity

A supplier might claim to be able to handle your orders, but their facilities don’t reflect that. A factory audit prevents unexpected disruptions in your supply chain.

About the report

What you’ll find in your
Supplier Audit Report

The audit report you receive is a detailed document covering all essential aspects of your supplier. It is divided into several key sections to provide you with a comprehensive overview of the supplier’s qualifications and ability to meet your expectations.

This section covers the supplier’s legal and administrative details to verify their legitimacy: - Supplier details: Company name, address, date of establishment, legal status. - Licenses and certifications: Verification of business and customs licenses, import/export certificates and supplier certifications. - Regulatory compliance: Confirmation of the validity and authenticity of legal documents.

This section assesses the factory’s production capacity to ensure it can meet your volume and deadline requirements: Machines and equipment: Inventory of on-site machines and equipment, verification of their condition and maintenance. Daily and monthly production capacity: Evaluation of the factory’s actual capacity to produce the necessary volumes. Availability of raw materials: Verification of raw material supply sources and stock management.

This part of the report evaluates the internal organization of the factory to determine if it is well-structured and capable of meeting production demands: Personnel organization: Number of workers, technicians, and administrative staff. Departmental structure: Breakdown of different departments (production, quality, management, etc.). Human resources: Qualifications and skills of the teams, presence of a dedicated quality management team.

The evaluation of the quality management system is crucial for ensuring products meet international standards: ISO 9001 or ISO 19011 certification: Verification of a certified quality management system. Quality control processes: Inspection of in-line (during production) and final (pre-shipment) quality controls. Testing and inspection equipment: Inventory of available testing equipment on-site and verification of its use.

This section checks the supplier’s compliance with specific industry standards: CE standards or others: Confirmation that the supplier meets the required safety and quality standards for the sector. Product compliance: Verification that the manufactured products meet the standards required in the destination country.

The state of the facilities and warehouses is a key factor in ensuring the safety and quality of products: Storage conditions: Inspection of storage facilities to ensure raw materials and finished products are stored properly. Facility safety: Presence of safety equipment (fire extinguishers, emergency exits, etc.) and compliance with safety regulations. Cleanliness and organization: Evaluation of the cleanliness of production lines and the organization of stock (labeling, product protection).

Each aspect of the supplier selection audit is rated based on its compliance with standards and expectations. This section helps you understand the strengths and weaknesses of the supplier: Compliance rating: Each criterion is rated on a scale of 100%, with color indicators to help you quickly assess the supplier (Green = Compliant, Yellow = Improvements needed, Red = Non-compliant). Recommendations: Clear and specific recommendations are provided to help you decide if the supplier is reliable or needs improvements.

To ensure transparency, the report includes visual evidence and copies of documents: Photos of facilities: Pictures of the factory, equipment, and facilities for a real view of the production environment. Photos of documents: Copies of licenses, certificates, and other documents verified during the audit. Photos of products: Images of products or samples inspected during the audit, if applicable.
